Project Summary

This system was created to enable users to manage their cargo documentation and track its progress on the way. This product allows to process automatic documentation creation according to specific country of delivery,  check with inventory, choose a consignee from the list, create new document layouts in a flexible way, book shipments and track their progress, obtain notifications on process stages. 

As s result: 

  • Reduced shipment documentation time from several hours to just 15 minutes 
  • Enabled parallel processing of multiple orders, ensuring faster handling and fewer delays 
  • Streamlined coordination between inventory, logistics, and documentation 
  • Improved customer communication with automated email updates at every shipment stage 
  • Accelerated driver assignment through advanced filtering by relevant attributes

Business Challenges

Before starting cooperation with us, the company had experienced some business process obstacles. Being a production company, they had information on their inventory and on their customers kept on their internal system. But when it came to shipment, which means logistics and customs documentation execution, all the paperwork had to be done manually by the company employees. This could sometimes lead to issues related to human factor — missing or confused data, incorrect completion, etc. 

The request was to create a system which takes existing data and fills the documentation automatically and properly, allowing to avoid any issues or missing information, concurrently, providing an opportunity to speed up the document processing time and decrease employees’ workload. 

Challenges 

The main challenge of the project was to create a system that unites all of the following: 

  • Logistics and tracking optimization; 
  • Warehouse control; 
  • CRM tools; 
  • Notification system; 
  • Automated cargo document’s creation; 
  • Smooth document workflow. 

All these features were not so easy to get into an all-in-one platform which, at the same time, should be intuitive and easy-to use. But our team coped with this challenge and provided the desired solution operating as fast as modern logistics processes demand, while keeping all important details on track! 

Solution

Dinamicka Development team worked on the Front-End and Back-End side of the system. Our team created UI/UX design from scratch, taking into account all the preferences of the company and needs of end users.  

Our development team used Angular code to provide fast operation and task processing. The key features implemented in the UI to adjust to the specific nature of company’s work, were: 

  • Support of tables showing detailed data of orders, customers, and users;
  • Option to manage table columns showing only data in demand;
  • Admin option to manage roles and permissions for each of them (Customer, Inventory Manager, Cold Storage, any additional role);
  • Option to create and download reports;
  • Option to upload and/or download documentation related to different countries of shipment. This allows to upload and review all necessary instructions, certificates, customs regulations and other requirements related to logistics and shipment process.

Features

The system, created by Dinamicka Development company, allows to perform the following functions: 

  • Manage orders: review their status, details, filter orders; 
  • Manage users: review their data, contact details, manage roles and permissions on the system; 
  • Manage customers: review their data and other details; 
  • Review Cold storage: review necessary parameters of cold storage customers with temperature range required, as well as details of customers who request cold storage for their shipments; 
  • Create reports: select time range for review through clear menu, download reports in Excel format; 
  • Manage documents: upload documents, e.g. instructions, certificates of origin, freezing certificates, health certificates etc.; review, download and edit documents at any time; 
  • Find Consignee for cargo delivery (with each delivery database come bigger); 
  • Manage notifications on the system on shipment stages, necessary document changes or data required. 

Result

After doing all the necessary work, passing all iterations and QA checks, the system now allows to: 

  • Shorten shipment documentation processing time from several hours to around 15 minutes;
  • Process multiple orders simultaneously, keeping all details in place;
  • Coordinate inventory, logistics and paperwork processes;
  • Notify customers by email on all stages of the shipment;
  • Find drivers quickly by relevant characteristics.
