This case involved the development of a customized CRM software for a specific real estate agency within the UK that focused on property sales and lettings. The client needed to combine fragmented data from spreadsheets and outdated tools into an efficient digital framework. The goal was to consolidate all operational aspects, including client management, property databases, contractor coordination, and legal documentation, into one ecosystem to significantly speed up daily workflow and improve data accuracy.

Key CRM Project Challenges
The first project challenge was to build a highly intuitive User Interface (UI) so that the agents could quickly adapt to the CRM system with short training and instruction. Of course, the technical requirement to handle flexible role-based access control posed its own challenges, so that the respective person (agents, managers, lawyers, or admins) accessed the data appropriately. Also, the project required the integration of CRM for real estate agents with external services such as map tools and accounting applications.
Custom CRM Solution We Provided
We began the development process of custom CRM software for real estate agents with an investigation of the business requirements. In an effort to determine the specific business processes and lifecycle stages of the agency, we conducted in-depth stakeholder interviews. This allowed us to formulate the exact user roles and required modules, ensuring the final UI/UX design perfectly matched the client’s operational reality.
Tech Architecture
For our core technologies stack during web development, we selected React.js for the front-end development to make it fast and responsive to user interface requirements, while on the back-end, we selected Django to offer a safe and scalable environment for data storage.
Customizable Dashboards
We built a flexible dashboard customized for the real estate business that management can use to monitor the business’s health. While it comes with pre-installed KPI modules, users can create their own reports to follow particular metrics, track manager performance, and get the total agency results.
Optimized Agent Workflow
In designing this system, we also wanted to make sure that in order to avoid an information overload, agents could immediately see which deals and clients belonged to them, filtering out unnecessary noise. Centrally, there is appointment booking, call planning, and task management on one timeline, supported by a smart notification system.
Mobile Adaptation
Since we know that agents usually work in the locations where the properties are, we fully adapted our solution to work seamlessly on mobile devices, allowing them to have access to important information anywhere, anytime.
What Client Got
The agency successfully migrated from disjointed spreadsheets to a powerful, all-in-one functional CRM software for real estate brokers. The solution has automated routine tasks and centralized all communication and information about properties. A key win was the direct integration with the company’s public website, allowing for instant processing of incoming web inquiries, which has significantly boosted the team’s efficiency and lead conversion rates.
