BirdNest is a custom web application that is designed for the US real estate industry‘s needs. This email marketing platform allows real estate agents to launch personalized email campaigns to their own clients.
The platform supports two distinct roles: agents, who run the campaigns, and admins, who oversee the system, manage email templates, and handle subscription plans and permissions.
The project had two different aspects: firstly, the development of the main app, and secondly, the development of a landing page that would be used to attract more users.

The main challenge in developing custom email marketing software for real estate agents was to handle massive data imports without losing efficiency. It’s not uncommon for real estate agents to have a list of thousands of contacts in their databases, so naturally, the system has to be capable of processing these through CSV or Google Sheets without crashing or the data getting corrupted. We had to architect a strong backend that would be able to support such heavy operations instantly. Additionally, creating a user-friendly “mapping” interface was very important so that non-tech agents could easily match their file columns with the system’s data structure using a provided template.
Another challenge was ensuring that each campaign could be instantly filled with the most up-to-date local market data automatically and without any agent’s effort, while still having the UI simple and easy to navigate.
Our Email Marketing Solution
Our full-cycle software development process began with a project requirements analysis and a clear UI/UX concept through which even real estate agents without marketing or technical backgrounds can easily operate the system. The core of the solution is an automated engine that takes minimal input from the agent and generates maximum value for the recipient.
Seamless Onboarding
To adopt more new users and attract a higher adoption rate, we implemented an interactive, step-by-step walkthrough. This guides new agents through the initial setup, assisting them in completing their profile, creating a contact list, and launching their first email campaign via real estate email marketing software.
Contact management
For easy contact management, we implemented two import methods: manual entry and bulk upload through CSV or Google Sheets. This needed a very robust back-end organization, featuring asynchronous handling, queuing, and validation criteria to avoid data spoilage during massive imports. Agents can also organize their contacts and assign them scores, labels, and activity statuses.
Smart Campaign Builder
We have simplified the agents’ workflow. Agents can upload their contacts manually or via bulk import. When an agent is launching a new marketing campaign, they only need to fill in two specific fields. After that, the rest is done automatically as the emails get enriched with local real estate data. For example, it could be the average rental prices or recent sales in the recipient’s neighborhood. These highly personalized emails stand out and deliver actual useful content.
Analytics & Grading
For data-driven decisions, we created a clear dashboard that demonstrates important email metrics like open rate, engagement rate, clicks, and contact activity segments. The agent can check the result of the campaign for different points in time and find out which contacts responded better. We designed a special feature called the “Champions” grading system. The platform tracks the user behavior and automatically segments your contacts into various categories like “Champions,” “Potential Champions,” and “Least Active.” Hence, the salespersons will be able to pinpoint their most promising leads and concentrate on them.
Admin Control
For the platform owners, we created a function admin panel to manage the business side. Admins can manage users, oversee all campaigns, create and edit the email templates, and control access rights based on different subscription tiers.
In addition to the application, we developed a WordPress landing page to promote the platform and bring in more customers.
Our team delivered the full product solution, including web design services, web development services, quality assurance, and deployment to AWS.
Results
The client got a strong MVP product that can go live in the US market. Real estate agents are now equipped with a “set it and forget it” tool that keeps them top-of-mind with their clients without the need to spend a considerable amount of time on manual work. Due to the incorporation of hyper-local data, engagement rates are higher than with standard newsletters, and with the user-friendly dashboard, agents can easily identify “Champion” leads at a glance.
